Importance at Data Stables is that we work lean and agile. We use the agile manifesto as a base, and added some ingredients on top of that. The most important parts are: fast delivery, iteration, unsynchronized communication and feedback from the business. To achieve this we use Trello Boards. We have boards per objective. Objectives can be for our customers, personal or our own companies. It’s important for the users of the board to understand why we want to achieve this objective. Here is an example of our own company, which we will use in this whole blog.
Our objective: A clear board for our partners and workers
Boards will have cards, and they must go past multiple steps that need to be taken before it’s done: Todo, doing, feedback (Peer/Business), delivered. We have different types of users and roles for the board which can be: objective owner (business), delivery owner, delivery specialist.
Roles:
Objective owner
This is one person on the side of the business, often our customers, that has the authority to sign off deliverables. That knows the context of why we are building what we are building. Can share additional information from the business when needed. Make sure to provide big large todo’s so we have plenty of work in the pipeline. Decides which cards have prio, by putting them at the top of the list. Give fast business feedback on completed work. Unblock us when you hold the key, for example when we are waiting for access. Evaluate if the work delivered is worth the costs.
Data Disciple - Delivery owner
This is one person on the side of Data Stables that will ensure we keep our promises of delivery. Also a data disciple. We need to deliver constantly and with high enough quality. Chase any blocked todo’s. If needed the delivery owner pulls in extra resources to speed up the delivery and/or when expertise is needed. Most likely the delivery owner does most of the work, and is knowledgeable on the most important topics and skills needed to complete the objective. Make sure to provide big large todo’s, split into smaller todo’s and give peer review on completed work. Evaluate if the work invested is worth the revenue.
Data Disciples
This can be multiple persons on the side of Data Stables that will deliver todos that are qualified for picking up. The delivery owner is also a delivery specialist. When a specific skill set is needed, it should be clear in the todo, if no skill set if anyone can pick this up.
Steps per board
Todo
Here we put all things we believe needs to be done to achieve our objective. They can start big or small. We try to keep track of all our work on the boards, so that means meetings and their summary too.
All roles can put new things in Todo and are free to make them smaller if they’re able. Note, you make them smaller by adding a checklist with items. For every item we will automatically create a new card under todo. The todos are our backlog of things to be done. Top of the list is the most important one, and you’re expected to pick up that one, unless instructed otherwise by the delivery owner. When picked up, assign it to yourself and put it to Doing.
Blocked
Here we put all small todo’s that can’t be solved with delivery owner or specialist dedicated to the board and needs to be resolved by business (E.g. access) or we need to call in a specialist. The delivery owner makes sure this state is brief, and gets it to Doing as soon as possible.
Doing
Here we put all the cards we are working on. For every card started this week, we will try to finish it. Therefore, it’s important to keep the cards small. You can only work on one card at a time. If you feel you’re doing multiple tasks in one, feel free to make a checklist midway through. When done, move the card to the Feedback (Peer Review) step.
Feedback (Peer Review)
In this step a delivery specialist will check on the work delivered. Will provide feedback in the following matter. If things are not acceptable, it will comment with the feedback and move the card back to Todo at the top of the list. Keep in mind that this must be severe, all other feedback will be listed in via ‘Future Improvement’ lists or general feedback in the comments section. It’s then moved to the Feedback (Business) step.
Feedback (Business)
In this step the Objective owner will check on the work delivered. Will provide feedback in the following matter. If things are not acceptable, it will comment with the feedback and move the card back to Todo at the top of the list. Keep in mind that this must be severe, all other feedback will be listed in via ‘Future Improvement’ lists or general feedback in the comments section. It’s then moved to the Delivered step.
Delivered
When cards are here, they’re done and completed! Nice! Every week we will share an update of our delivered work to all stakeholders. After that cards will be archived.
